Work Arrangement: Fully remote, with onsite requirements for the first and last day of the contract
Position Overview:
This role supports operational day-to-day tasks while assisting in the implementation of the SNOW Software Asset Management Tool. The Business Analyst/Consultant III functions as the subject matter expert in software licensing, IT asset management, and purchasing procedures. With a strong customer service focus, this position requires minimal supervision and frequent collaboration with staff across all levels of the organization.
Key Responsibilities:
Business Analysis Support:
- Provide department-wide software license management and purchasing services.
- Review and coordinate software needs with customers and the Business Office.
- Manage software licensing databases for Microsoft, Tableau, IBM, Adobe, and others.
- Conduct audits to ensure compliance with software license terms and agreements.
- Develop and document workflows for the organization's software asset management program.
- Collaborate on customer software licensing chargeback reports with divisional fiscal liaisons.
Software Licensing and Compliance:
- Ensure adherence to licensing policies and procedures.
- Advise management on questionable software usage and provide resolution strategies.
- Liaise between software manufacturers and customers to clarify licensing issues.
- Monitor and renew software maintenance agreements to avoid unsupported exposure and fees.
Budget Development:
- Review renewal requirements and gather vendor quotes for licenses and maintenance.
- Assist in developing the annual software purchase budget in collaboration with the IT Business Manager and customers.
- Classify software purchases for direct charge and device/user rate calculations.
Backup Responsibilities:
- Support the Hardware Asset Specialist and Business Office Coordinator roles as needed.
- Assist with IT hardware asset management, including inventory processes and asset disposal.
- Help with general IT and office supply purchasing, invoicing, and deployment.
Required Skills and Experience (2-5 years):
- Inventory Management: Tracking and managing software and hardware assets.
- IT Asset Management Tools: Proficiency in ServiceNow, SNOW, or other SAM tools.
- Software License Management: Experience with licensing agreements and compliance.
- Vendor Management: Negotiating contracts and managing vendor relationships.
- Customer Service: Demonstrated experience providing excellent client support.
Preferred Skills:
- Certifications: ITIL, CSAM, IAITAM, or equivalent certifications.
- ITIL Framework Knowledge: Familiarity with IT Infrastructure Library principles.
- Procurement Experience: Background in purchasing or finance roles related to procurements.
